JOB OVERVIEW

Philanthropy Northwest is looking for a Director, Grants and Finance to join the team. This role will be responsible for oversight of the enterprise’s finance and grants administration departments. The candidate will be a strategic leader supporting the enterprise in budgeting, financial management, analysis and reporting, risk management and grants management/administration – playing a crucial role in the successful implementation of the EPA Environmental Justice Thriving Communities grantmaking program.

In 2024 the director, grants and finance will primarily focus on grants management/administration – formalizing process and systems to support the EPA Environmental Justice program and receive support from a contracted CFO to manage enterprise projects. In 2025, and moving forward, the director will assume full responsibility for financial analysis & forecasting and general accounting, and will manage the finance department including supervising the finance team members.

The ideal candidate will have strong experience in managing federal government grant (or contract) processes, not-for-profit accounting, building systems, team management, and working as a collaborative partner with program staff and leaders.

• Location – Hybrid position based in Seattle or anywhere in Alaska, Idaho, Montana, Oregon, Washington or Wyoming, with monthly in-person presence at HQ in Seattle.

• Salary: $125,000 – $140,000

ESSENTIAL RESPONSIBILITIES

Grant Management / Administration:

• Ensure compliance with funder policies and procedures in implementation and intermediary grantmaking activities.

• Manage overall grant administration workflow to support grant lifecycle from grant selection to close-out.

• Supervise 3 EPA grant administrators and ensure they are working collaboratively to meet the goals of the community grant making program.

• Review grant portfolio data to support reporting to funder, fund balancing and manage subaward burn rates to maximize fund availability for grantee partners.

• Evaluate opportunities to streamline and improve workflow with a bias toward reducing administrative and reporting burden for grantee partners.

• Prepare grant draw down requests to funder.

• Assist with preparation of grant reports and proposals for grants/funding.

• Oversee grants accounting.

Financial Analysis & Forecasting:

• Analyze finances and create ongoing and real time forecasts for Vice President, People, Operations & Finance, CEO and leadership team to communicate financial realities and opportunities.

• Collaborate with VP, People, Operations & Finance in developing annual budget and planning process including updating the organization’s business plan as needed.

• Administer, and review all financial plans and budgets; monitor progress and changes; and keep VP, People, Operations & Finance, CEO and leadership team abreast of the organization’s financial status.

• Prepare and present monthly, quarterly, and annual financial statements.

• Ensure timeliness, accuracy, and usefulness of financial and management reporting for funders, senior leaders, and the board of directors.

• In collaboration with VP, People, Operations & Finance engage the finance committee of the board of directors to develop short-, medium-, and long-term financial plans and projections.

General Accounting:

• Oversee the accounting function from transactional processing (AR, AP, and payroll) to the monthly close and financial statement preparation; oversee all accounting for our internal consulting practice, including consulting contractor payments, client invoicing, and reporting.

• Supervise finance team members, including Controller and ensure they are meeting performance expectations and work deliverables.

• Oversee the annual audit process and 990 preparation and remain up to date on nonprofit best practices.

• Ensure compliance with federal, state, and local legal requirements by researching existing and new legislation, consulting with outside advisors, and filing financial reports. Manage and update all required business licensing.

• Assist VP, People, Operations & Finance in establishing, monitoring and enforcing internal controls to ensure healthy organizational growth.

• Support efforts to mitigate risk and coordinate the annual business insurance policies.

Other:

• Engage in enterprise-wide activities and team building, including staff meetings, peer coaching, learning and development, annual conference, staff committees and other enterprise events throughout the year.

REQUIRED QUALIFICATIONS

• Minimum of seven years of finance and accounting management experience,

• Minimum 3 years’ experience in federal grant and/or contract management.

• Experience in not-for-profit accounting.

• Strong working knowledge of generally accepted accounting principles (GAAP) for nonprofit organizations and basic understanding of local, state, and federal tax laws pertinent to nonprofits.

• Excellent working knowledge of Microsoft Excel and accounting systems like MIP or SAGE.

• Ability to translate financial concepts and effectively collaborate with colleagues who do not necessarily have finance backgrounds.

• Comfort with ambiguity and change, and eagerness to continually improve finance systems.

• Robust business acumen with ability to bring keen understanding of costs, benefits and risks analysis to business dilemmas, opportunities, or situations.

• Ability to lead, develop and mentor staff in an inclusive intercultural environment where staff of all backgrounds and abilities can thrive

• Demonstrates an ability to work effectively and respectfully with politically, ideologically, culturally and geographically diverse people and communities.

• Exceptional interpersonal skills and demonstrated ability to manage relationships with integrity and consistency, including a keen ability to work effectively and respectfully with politically, ideologically, culturally and geographically diverse people and communities.

• Ability to work both autonomously and collaboratively.

PREFERRED QUALIFICATIONS

• Familiarity with participatory grant-making practices.

• Experience with Sage Intaact a plus.

• Familiarity with Abila MIP Fund Accounting system and Microix budgeting a plus.

• Strong skills and demonstrated experience with financial management, analysis, and forecasting.

• Experience leading a finance department.

• Experience leading legal, audit, compliance, budget, and resource development activities.

• CPA and/or CFA certification desirable.

SALARY AND BENEFITS

The total compensation for a full-time position includes a package of benefits consisting of medical, dental, retirement contribution by employer (6% of salary and additional up to 2% dollar to dollar match (up to $1,800/year) to employee contribution), professional development, paid holidays and generous vacation policy, and flexible schedule.

Annual salary range is $125,000-$140,000 depending on experience.
